Zapier added significant AI capabilities in 2024-2025, and in 2026 these features are mature enough to build production automations on. If you are already using Zapier and want to add AI without switching platforms, this tutorial shows you exactly how.

What Are Zapier AI Actions?

Zapier AI Actions (formerly "AI by Zapier") are native steps you can add to any Zap that leverage LLMs for:

  • Text generation and summarization
  • Data extraction from unstructured text
  • Translation and formatting
  • Sentiment analysis
  • Decision-making based on content

These run within Zapier — no external AI API key required (though you can connect your own OpenAI key for more control).

The Four Main Zapier AI Tools

1. AI by Zapier (Text Generation)

Generates text based on a prompt. Accepts dynamic variables from previous Zap steps.

Use case: Generate a personalized email response based on an incoming lead's details.

Example prompt:

Write a friendly, professional 3-sentence email response to a lead inquiry from {{lead_name}} about {{service_interest}}. Include our office hours (Mon-Fri 9am-5pm) and encourage them to book a call at {{booking_link}}.

2. Extract from Text (AI)

Pulls specific fields from unstructured text — emails, chat messages, form responses.

Use case: A customer emails a complaint. Extract: customer name, order number, issue type, urgency level.

3. Classify (AI)

Categorizes text into predefined labels.

Use case: Incoming support tickets → classify as: billing, technical, shipping, general — then route to the right team.

4. Summarize (AI)

Condenses long content into a brief summary.

Use case: Long customer support transcript → 3-sentence summary for the CRM record.

Workflow 1: Smart Lead Routing

Trigger: New form submission (Typeform, Gravity Forms) Goal: Route leads to the right sales rep based on their answers

  1. Trigger: New Typeform submission
  2. AI by Zapier: Classify the "What are you looking for?" response into: [Enterprise, SMB, Individual]
  3. Router: Branch based on classification
  4. Branch Enterprise: Create HubSpot deal + notify enterprise sales Slack channel
  5. Branch SMB: Add to GoHighLevel pipeline + send automated email sequence
  6. Branch Individual: Send to self-serve onboarding flow
